Best Font for Spreadsheets: Numbers That Line Up

Font advice for spreadsheets is almost always written as if a spreadsheet were a document. It is not. A document is mostly letters in sentences, and a spreadsheet is mostly digits stacked in columns, which changes what "readable" means. The best font for an Excel spreadsheet is one where every digit occupies exactly the same width, so that 1,000 and 8,888 end at the same place on the page. That property is called tabular figures, and it is the one thing you should check before you check anything else. Arial, Calibri, Verdana, Segoe UI, Tahoma, Trebuchet MS and Times New Roman all have it. Georgia does not, and a column set in Georgia will look subtly crooked no matter how good it looks in a heading.

I checked this rather than repeating it. Every font file states the advance width of each glyph, so "are the digits the same width" has a numeric answer you can read straight out of the font. What follows is that answer for the fonts people actually reach for, plus the size, pairing and fallback decisions that come after.

Why do columns of numbers look ragged in some fonts?

Because most typefaces are proportional. An i is narrow, an m is wide, and the spacing adapts so that text reads evenly. That is exactly right for prose. Applied to digits, it is a problem, because a column of numbers is a grid pretending to be text.

Type designers solved this a long time ago by giving digits a single shared width, whatever their shape. Microsoft's OpenType specification describes the tabular figures feature as one that replaces "figure glyphs set on proportional widths with corresponding glyphs set on uniform (tabular) widths", and notes that tabular widths are usually, though not always, what a font gives you by default. "Usually, though not always" is where spreadsheets get bitten. Fonts designed for body text sometimes ship proportional digits by default, and Excel gives you no control panel for switching figure styles. If the font you picked has ragged digits, you get ragged digits.

Here is the concrete case. Georgia's digits are drawn as old style figures, the kind that sit at lowercase height and hang below the baseline, and they are proportional. In the font file, Georgia's 1 is 880 units wide and its 0 is 1,257 units wide, on a design grid of 2,048 units per em. That is a zero roughly 43 percent wider than a one, and nine of the ten digits have a different width. In a right-aligned money column the decimal points still line up, because Excel aligns the cell, but the digits inside drift. The eye reads that drift as sloppiness without being able to name it.

Every other font in the shortlist below reports one single width for all ten digits.

What are tabular figures, and which spreadsheet fonts have them?

Tabular figures means all ten digits share one advance width. The practical effect is that any two numbers with the same digit count occupy the same horizontal space, so a column reads as a column.

The table below is measured from the font files themselves. Widths are in font design units on a 2,048 unit em, which is the standard grid for these faces, so the numbers are comparable across rows. The last two columns cover the two things people ask about after alignment: whether the font survives being printed small, and whether it exists outside the Microsoft world.

Three things worth pulling out of that table.

Aptos is the honest gap. Aptos ships with Office rather than with Windows, and it was not installed on the machine I measured from, so I have left its figure style marked unverified instead of asserting something I did not check. Microsoft's own typography page for Aptos describes the family, its designer Steve Matteson, and its Condensed weights, which it says "give Excel users a way to fit more information into spreadsheets and tables", but it does not publish the figure style. If you are on Aptos, run the two second test in the next paragraph on your own machine rather than trusting a listicle.

The test takes two seconds. Put 111111 in one cell and 000000 in the cell directly beneath it, in the font you are considering, left aligned, in a wide column. If the two strings end at the same point, you have tabular figures. If the row of ones is visibly shorter, you do not, and you should pick something else for the body of the sheet.

The character that actually trips people up is not 0 versus O. Every font here draws a clearly narrower zero than a capital O. The confusion I found repeatedly is lowercase l against capital I. In Arial, Calibri and Segoe UI these are both plain vertical bars of almost identical width, which matters the moment your sheet contains part numbers, SKUs, license plates or anything alphanumeric. Verdana, Tahoma, Consolas and Courier New all separate them properly, either with crossbars on the capital or a tail on the lowercase.

Did the Excel default font change, and does it matter?

Yes, and the situation is messier than the "Calibri is out, Aptos is in" version you usually see.

Microsoft's support article on the new Office theme states plainly that Aptos is the default font across all of Office, replacing Calibri. That is Microsoft's own current wording.

At the same time, Microsoft's Excel specific help has not caught up. The page on changing the font style and size for a worksheet still says Excel automatically uses Calibri at size 11, and never mentions Aptos. The Excel for Mac default font page still describes the default as Body Font at size 12, displayed as Calibri. Both were saying that when I checked them for this piece.

So the accurate answer to "what is my default font" is: whatever your build and your workbook's theme say it is, and only your copy of Excel can tell you. Two places to look, both quick.

  1. Page Layout then Themes then Fonts shows the theme's heading and body font pair. This is what "Body Font" resolves to.
  2. File then Options then General has the font used when creating new workbooks.

On Mac the second one lives under Excel then Preferences then General, under Authoring. In Excel for the web there is no default font setting for a whole workbook at all, only per selection formatting, which Microsoft states outright on that same worksheet font page.

Does the change matter? Less than the noise around it suggested. Aptos versus Calibri is a taste argument between two competent Microsoft sans serifs. The change that does matter is silent: an older workbook carries its old theme, so a file made in 2019 opens in Calibri while a new one opens in the current default, and a workbook assembled from both sources ends up mixing them. If a sheet looks slightly off and you cannot say why, check whether two tabs are running two different theme fonts. That is a formatting inconsistency in the same family as the ones in the pre-send cleanup checklist.

Should headers use a different font from the body?

Usually not a different font. A different weight.

The reason is that a header row already has plenty of signals available: bold, a fill color, a border under it, and the fact that it sits at the top. Adding a second typeface on top of that is a fourth signal doing a job the first three already finished, and it introduces a second thing that can fail to install on the recipient's machine.

The pairing that works is one family, two weights, one size. Body at regular, headers at bold, both at the same point size. The one case for a genuine second font is a title block or cover tab, where a display face at 18 or 20 points is doing branding rather than data. Keep it out of the grid.

One caveat on where fonts stop being the right tool. If your numbers look inconsistent, the fix is often number formatting rather than typography. A font cannot decide how many decimal places to show, or push a currency symbol to the left edge of a cell. Those live in the format code, covered in the number formatting guide.

What size and row height keep a dense sheet readable?

Point size is a weaker signal than it looks, because x-height varies a lot between faces. Measured against the em, Verdana and Tahoma sit at about 55 percent, Arial and Trebuchet at 52, Segoe UI at 50, Calibri at 46, Times New Roman at 45 and Courier New at 42. In plain terms, 11 point Verdana looks noticeably larger than 11 point Calibri, and 11 point Courier New looks small enough that people assume something is wrong.

Practical settings that survive both screen and print:

  • Body: 10 or 11 point for a face with a large x-height, 11 or 12 for Calibri or a serif. Below 9 point, print quality starts deciding your legibility for you.
  • Headers: same size, bold. Bumping headers up a point or two makes the header row taller than the data rows and breaks the grid rhythm.
  • Row height: leave it on auto, then add a little. Excel's automatic height fits the tallest glyph with almost no breathing room. Nudging every data row up by two or three points does more for readability than any font swap.
  • Do not use size to signal importance inside the grid. Two data rows at different sizes reads as a mistake. Use a fill or a border.

What happens when the recipient doesn't have your font?

The file does not break. It substitutes, quietly, and that is worse, because nothing tells you it happened.

Excel stores the font by name. When it opens a workbook naming a font that is not installed, it renders the closest thing it has. Column widths are stored in the file and do not change, so a substituted font with wider digits overflows into ##### in numeric cells or truncates text. Your carefully sized columns arrive broken, on someone else's screen, with no warning to either of you.

Two rules keep this from happening.

Rule one: if the file is leaving your organization, use a cross-platform classic. Arial, Verdana, Trebuchet MS, Georgia, Times New Roman and Courier New have been present on both major desktop platforms for decades. Aptos and Calibri are Office fonts, which Microsoft's typography documentation states are supplied within Office applications, so they are a safe bet only if you know the recipient has Office. Segoe UI and Tahoma are Windows fonts. For a sheet going to a client, a bank, a landlord or a job application, Arial or Verdana costs you nothing and cannot fail.

Rule two: if the layout is the deliverable, send a PDF. A PDF embeds the fonts, so what you saw is what they see, on any device, with no substitution and no #####. Frequently asked questions

Is Calibri still the Excel default?

It depends on your build, and Microsoft's own documentation currently disagrees with itself. The Office theme article says Aptos is the default across Office. The Excel worksheet font help page still says Calibri at size 11, and the Excel for Mac page still describes the default as Body Font at size 12 shown as Calibri. Rather than trust either, check Page Layout then Themes then Fonts in your own copy. Older workbooks also keep the theme they were created with, so a Calibri file and an Aptos file can sit side by side in the same folder.

Should I use a monospaced font for numbers?

Not for a whole sheet. Monospaced fonts like Consolas and Courier New guarantee aligned digits, but they force the same width onto every letter too, which makes label columns wide and slow to read. They are also light on the page: Courier New has the smallest x-height of any font measured here.

The better move is a proportional font that already has tabular figures, which is nearly all of them. Save monospace for cells holding codes, hashes, IDs or fixed-width imports, where the character-by-character alignment is the point and Consolas's slashed zero earns its place.

What font size is right for a printed spreadsheet?

10 or 11 point for the body of most sheets, in a face with a reasonably large x-height. Nine point is the floor where hairline strokes start dropping out on an office laser printer, which is why Times New Roman and Courier New tend to disappoint in print at small sizes while Verdana and Arial hold together. Set the size, then print one page before you print two hundred. Screen preview consistently flatters small type.

Do fonts change when a file opens in Google Sheets?

Often, yes. Google Sheets renders in a browser using its own font set, so an Office font like Aptos or Calibri is not something it can be assumed to have, and it will fall back to something available. Column widths carry over from the file while the letterforms do not, so the sheet can arrive with different proportions than you designed. If you know the file will be opened in Sheets, build it in a cross-platform classic such as Arial or Verdana, which both applications can resolve without guessing.

Pick the pairing once, then stop thinking about it

Font choice is a decision that deserves about ninety seconds of your life and then never again. Digits the same width, a lowercase l you can tell from a capital I, one family at two weights, a size chosen for the face rather than out of habit, and something the recipient will actually have.
